What is Digital Dictation?

What is Digital Dictation?

from dtpss.com

Dictation & transcription have been standard practices in medical and legal industries for years. Until recently the best option for recording dictations was on standard, mini, or micro cassette tapes, but with advances in technology, digital dictation recording devices are becoming more and more common. Between digital portable recorders, computer hand microphones, call in dictation systems, and mobile phone dictation there is sure to be a digital dictation option that is right for you.

Digital dictation is the process of recording a speaker’s voice in real time on a digital medium rather than a cassette tape. Digitally recording dictations offers many advantages over analog systems. Users can review or edit audio files by instantly re-winding or fast forwarding to any point in a dictation. Also, digital audio files can be emailed or uploaded for instant delivery to you transcriptionists, or you can easily store your recordings with a dictation management system like Olympus' Dictation Management Software.

Professional dictation equipment will record in DSS or DS2 audio file formats, which were created specifically for recording digital dictations. These formats compress your recording for high quality and small file size, making it easy to store and send your dictations. Any transcription or file management software can access and play these file formats, but as mentioned before there are several different ways to record your digital dictations.

Portable Recorder
Olympus DS-7000
Portable, hand held, digital recorders are a great replacement for your old analog handheld. With amazing quality and durability, professional level digital recorders like the Olympus DS 7000 DVT offer crystal clear hi-fi recording with familiar functions and operation. Easily transfer your recordings by simply docking or plugging into your computer; no more tapes to keep up with. With available slide switch, push button, fingerprint locking, and barcode scanning options there is a professional digital portable recorder that is right for you.

Computer
Another common way to record digital dictation is with a computer dictation microphone. There are several different types of computer dictation microphones available, but each one has similar features and operation. Olympus Direct Rec, Philips SpeechMike, and Dictaphone Powermic are all digital computer dictation microphones that also feature push button control for operating dictation or speech recognition software. Simply plug the dictation microphone into an open USB port on your computer, load your favorite compatible software, and start dictating; it’s as easy as that.

Call-in Dictation System
Call in dictation systems allow one to easily record their dictations over the phone; anytime anywhere. With DigiTel call in dictation systems you simply dial a phone number, enter a PIN and start dictating. Easy touch tone controls let you start, pause, playback, and send your dictation audio file. The DigiTel system features a Pod that you plug your phone line into. Then plug the pod into your computer and use any Philips, Olympus, or DigiTel transcription or management software to store and transcribe your digital dictation files.

What is Speech Recognition Software?

What is Speech Recognition Software?

Dragon NaturallySpeaking

Speech recognition software, put simply, translates spoken words into text. There are many different applications for speech rec. software that range from transcribing medical pathology dictations to writing blogs by just speaking. Over the years this type of software has come a long way, and today you can purchase professional speech recognition software, like Dragon NaturallySpeaking (DNS), for your home or office computer.

Technically, ‘voice recognition’ refers to identifying who is speaking, rather than what they are saying. SR software like Dragon is considered ‘speaker dependent’, meaning that one user trains the software to their voice and speech patterns by reading sections of text. The ability for SR Software to identify a specific speaker, that it has been calibrated for, allows for more accurate translation of speech for that user.

The performance of different speech recognition options is usually measured by the accuracy and speed at which the software transcribes. Because of the complexity involved with speech recognition software there are many variables that can affect performance. For example, vocabulary size and whether or not the speaker is reading or conversing can change the outcome of your final transcription. Also, background noise and distortion from you microphone or speech recognition headset can trip up even the best SR systems. Even more, the way people speak varies by accent, articulation, pronunciation, pitch, volume, and speed; which can confuse some speaker independent software. These issues can be minimized by using speech recognition software that creates user specific profiles like Dragon NaturallySpeaking.

After 15 years, and numerous versions, Dragon NaturallySpeaking has become one of the best performing and most respected speech recognition solutions available today. Nuance offers several versions of their well-known Dragon speech recognition software, each with a range of features for specific industries.

Dragon NaturallySpeaking Premium

Dragon NaturallySpeaking Premium is a basic version of Dragon that is perfect for students and home use. DNS Premium lets you interact with your PC by voice, making it easy to Dictate or modify documents, create spreadsheets and presentations, send email, search the Web, and more. Even capture notes on the go using a digital recorder and Dragon will transcribe the audio files for you.

Dragon Naturally Speaking Professional

Dragon Naturally Speaking Professional speech recognition software is perfect for the busy businessman. DNS Pro allows users to create documents and control PCs with their voice, increasing productivity and cost savings. A user can create or modify documents, manage email, search the Web, or automate business processes all with only his or her voice. With DNS 12 Pro one can also dictate into a digital voice recorder or compatible iOS device and Dragon will transcribe the audio files.

Dragon NaturallySpeaking Legal

Dragon NaturallySpeaking Legal is designed specifically for the legal community. Featuring an expanded vocabulary, DNS Legal provides accurate out-of-the-box recognition of dictated legal terms. DNS Legal also automatically formats legal citations, and allows users to create, import and share custom word lists that are relevant to clients and areas of specialty. Also, with the third-party correction feature, users can speed up document turnaround and free up support staff for higher-value tasks.

Dragon Medical Practice Edition
Dragon Medical Practice Edition

Dragon Medical Practice Edition is the most used medical speech recognition software on the market today. With added features for the medical industry, Dragon Medical Practice Edition will not only save your organization thousands of dollars a year in transcription costs, it will also increase your reimbursements by providing improved documentation. A major study revealed that practices using Dragon Medical Practice Edition saw an increase in reimbursements of $10,000 per year, per physician. Furthermore, with increased accuracy and fewer errors to correct clinicians can spend more time with patients, improving patient satisfaction.

Dragon Dictate 3 for Mac

Nuance also makes Dragon dictation software for use on Mac computers. With Dragon Dictate 3 users can turn their voice into text faster and more accurately than previous SR software designed for Apple. Dragon Dictate3 lets you record ideas, create documents, check email, and surf the web all by simply speaking. You can work faster and smarter by using your voice to control almost any Mac computer application. Open, close, save, and type using only simple commands. Get more done with your Mac with Dragon Dictate 3 from Nuance.

Modern speech recognition software has so many features and abilities that it is impossible to list them all here. From talk to text, to surfing the web, speech recognition software is making computer interaction more intuitive. Upgrade to a Digital Dictation & Transcription Workflow

Upgrade to a Digital Dictation & Transcription Workflow

Olympus AS-7000 Digital Transcription Kit
The development of digital recording in the 1980’s has forever changed the way that audio is recorded and played back. Instead of physically imprinting on vinyl or magnetic tapes, digital recording creates a computer file of your audio. This allows for high quality sound, as well as easy file manipulation, storage, and transportation. Today, as digital recording technology continues to advance, it is no surprise that Analog (cassette tape) Dictation & Transcription is being phased out.

Manufacturers of dictation & transcription products (Dictaphone, Olympus, Sony, ect…) no longer produce analog Dictation & Transcription equipment, and the remaining new stock is quickly disappearing. There are always refurbished analog machines available, but the reliability and quality of this equipment makes refurbs more of a temporary bandage than a solution. In years past upgrading to Digital was more of a choice, but today it is fast becoming a necessity.

What does this mean for me?

Many medical, legal, and professional offices still use Cassette dictation & transcription workflows, and there are more than a few reasons why upgrading to a Digital Workflow can be seen as a challenge. Some of the more common reasons behind not wanting to upgrade to digital systems are listed below:

-You have been using the same analog workflow for 20 years and think that “if it ain’t broke don’t fix it”
Unfortunately, because all analog dictation & transcription equipment has been discontinued it really isn’t a question of ‘if’ you want to upgrade to digital, it’s a question of ‘when’. With all of the amazing dictation & transcription equipment, hardware, & software available, combined with trade in offers that won’t last forever, there is no better time to upgrade to digital than right now.

-I don’t want to learn something new

Yes, the recording media has changed, but dictating is still dictating and transcribing is still transcribing. There is such a quick learning curve on digital equipment that there is virtually no negative effect on your actual workflow. On the author’s end the ONLY change between analog & digital comes when he or she has completed their dictation. With analog dictation an author would give/send a cassette tape to their typist, but now with digital dictation that same author can simply dock their digital voice recorder and he or she is done. Additionally, the author can also choose to save, rout, email, or archive their digital dictation file with ease. This functionality allows for many more storage, transport, editing, and organizational options than were ever possible with cassette tapes. Furthermore, anyone who is currently working as a transcriptionist is already familiar with computers and foot control operation for playback. As it turns out, for typists, the only changes between analog & digital workflows are changes that make operation easier.

-The cost of upgrading seems intimidating

The reasons people use dictation & transcription workflows are to save time and money. Digital dictation is easier, faster, & more efficient than analog, which leads to more use. So after the initial investment you will save more money and get more work finished than you would have with your analog systems. Also, digital systems are comparable in price to analog systems, but with digital you eliminate your cassette tape cost. We have assisted thousands of companies with the transition to digital, and with our satisfaction guarantee you have nothing to lose.

-You have tried digital dictation in the past and didn’t like it

Did you try it 5 years ago?

So much has changed and advanced that you will be amazed at the difference in quality, and ease of use, of today’s digital dictation & transcription equipment.

Did you try Professional Dictation & Transcription equipment, or did you try a $60.00 digital recorder not intended or designed for dictation?

Professional dictation equipment is not mass produced in some mega factory in China like some consumer level recorders are. Great time and care has gone into the design, function, operation, and quality of pro digital dictation & transcription gear. These products are made for daily use and are built to last.

Did you have professional help shopping for, purchasing, setting up, and learning about digital dictation & transcription?

At DTP we have certified, Professional Digital Dictation Experts that will assist you through the entire process of upgrading. Regardless of your current workflow, our expert sales and service staff will help you put together a digital dictation & transcription system that will not only make your job easier, but will also save you time and money. Call (877.378.2838) or email us at sales@dtpss.com for assistance with all of your Dictation & Transcription needs.

Problems with Analog Dictation Recordings

Analog recordings degrade each time they are used. Every time you hit the Play button, there is physical contact made between the recording and the player. Over time this contact starts to cause cracks, pops, static, distortion, other loss in sound quality. Dictations become more and more difficult to understand until one day you have to start replacing equipment. Possibly the largest obstacle to overcome when thinking about upgrading to digital is comprehending that digital dictation & transcription is not any more difficult than analog. In fact digital is easier with many more features.
The Olympus DS-7000 top of the line digital hand held recorder.

Benefits of Digital:
-The transition from analog to digital dictation/transcription workflows is more of an upgrade than it is a change.

-No more using, storing, or buying cassette tapes.

-Organization of your dictation files made simple by different Management Software

-More efficient – Saves Time & Money!

-All other things being equal, Digital recordings will always be more consistent and higher quality than Analog.

-High Quality Playback
-Industry specific file type (.DSS) for maxium dictation sound quality with minimal file size
-Digital audio doesn't degrade like analog audio.

With the discontinuing of most analog dictation and transcription equipment, digital technology is becoming the industry standard. There are many questions to ask and considerations to be made when upgrading from analog to digital dictation & transcription, and professional help can save you time, money, and aggravation.
